Trainer Management System - Web Dashboard & Android App

Sivani Academy runs software training programmes at colleges across Tamil Nadu and Puducherry with a team of freelance trainers. Keeping track of which trainer is where, on which dates, and who has been paid was spread across spreadsheets and phone calls. We built a Trainer Management System - a web dashboard for the office and an Android app for the admin on the move - both working from one shared database.

Web dashboard

• Trainer database - profiles, courses each trainer can teach, resumes, vendors and active / inactive status
• Assign trainers to colleges by state and district with start and end dates - the system blocks double-booking a trainer on overlapping dates
• Programme tracking - ongoing, upcoming, postponed and completed programmes in one place
• Payments - programme fees, part payments and pending balances, with PDF payment receipts
• Email & WhatsApp - send assignment details to trainers using editable email and WhatsApp message templates
• Dashboard at a glance - available trainers, programmes running today, programmes starting this week, pending payments and a monthly summary
• Admin users with roles, and installable on a phone or desktop like an app

Android app

• Built in Flutter on a secure REST API - same live data as the web dashboard
• Add and edit trainers, assign programmes and record payments right from the phone
• Morning push notification for every programme starting the next day, so nothing is missed
• One-tap WhatsApp to a trainer with the programme details filled in

Technology

PHP & MySQL web application, Flutter (Android), REST API with token login, Firebase Cloud Messaging for push notifications, scheduled server jobs, PDF receipts and SMTP email.
